What happens during a Clinic?

A Caltec FileMaker Clinic consists of an interview lasting about 1 hour.

  1. The clinic starts with a brief introduction and a short interview to cover the basics.
  2. Next, we will ask you specific questions about your business needs and your database.
  3. Finally we will work with you to brainstorm ideas for improvement.
  4. Following the clinic we will prepare a written report for you.

What does a report look like?

Following the Caltec FileMaker Clinic we will prepare an itemized and written report outlining up to 15 of your business IT needs, charting a path to satisfying them, and explaining how you can benefit from your IT system.

Item 01: Order Confirmation Emails

Need: Client must send each client confirmation emails after each order.

Current situation: Confirmation emails must be sent manually. This process requires a lot of time and is error prone.

Recommendation: The database should automatically send an email to clients when an order is complete. The email should include a greeting, order details, terms/conditions, and a closing salutation. As an option the system can send an SMS confirmation as well.

Return On Investment (Benefits): The client processes an average of 500 orders per year. Email confirmations require an average of 5 minutes each. The total time that will be saved using automatic processing of emails is about 42 hours yearly. Assuming that the clients time is worth €25/hour the total savings of an automatic confirmation system is €1050 per year.

In addition, using the manual method about 5% of emails experience errors in processing, that is 25 emails/year. Each error creates an average of 30 minutes of customer services work to resolve.
